Privacy statement for the use of Teams or Webex

Introduction

The following privacy statement contains information regarding the processing of personal data when you use Microsoft's Teams (hereinafter 'Teams') or Cisco's Webex (hereinafter 'Webex') to communicate with, or within, the Swiss National Bank (hereinafter 'SNB').

Microsoft and Cisco are two independent providers of platforms that enable chat, audio or video communication and the general exchange of information.

Teams is provided by Microsoft (Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18 D18 P521, Ireland).

Webex is provided by Cisco (Cisco International Limited, registered in England and Wales [Company Number 06640658], 9-11 New Square Park, Bedfont Lakes, Feltham, TW14 8HA (UK) and Cisco Systems, Inc., 170 West Tasman Drive, San Jose, California 995134 (USA)).

If you do not want to use Teams or Webex

If you object to the use of Teams or Webex and the associated processing of your personal data, please inform the person inviting you to use Teams or Webex or the SNB, and do not use Teams or Webex. In certain cases, the SNB will look into alternative solutions for communication with the SNB.

Data processing by Microsoft when you use Teams and by Cisco when you use Webex

Only use Teams or Webex if you agree with the respective privacy statement and terms of use.

Data processing by the SNB when you use Teams or Webex

When you use Teams or Webex for communicating with, or within, the SNB, the SNB processes your personal data. Processing is carried out in accordance with this privacy statement, including the privacy statements and terms of use mentioned in section Data processing by Microsoft when you use Teams and by Cisco when you use Webex above.

Case-specific conditions and privacy statements may also apply, even if no specific reference is made to them in this privacy statement.

The 'General privacy statement of the SNB', which is available at www.snb.ch or requested from the SNB's Data Protection Officer, contains additional relevant information on the processing of personal data by the SNB. In the event of contradictions, this 'Privacy statement for the use of Teams or Webex' shall take precedence.

Which categories of personal data are processed?

When you use Teams or Webex, various personal data are processed. This will depend, for example, on the information you provide before and during a conference or other communication, and on the data you transmit, receive or otherwise process, etc. In particular, the following data may be processed:

  • profile data and user details such as contact information, telephone number, identification number, display name, first and last name, email address, photo (if uploaded), availability status and organisational assignment;
  • text, audio and video files, streams and their recordings (recordings only in exceptional cases and only if announced), chat messages, shared data (documents, screen contents, files, etc.);
  • technical data such as location and time, IP, MAC or equivalent address, end-user device, browser, screen resolution, logger, usage statistics, etc;
  • other personal data that you disclose or receive;
  • other personal data in accordance with Microsoft's privacy statement and terms of use in the case of Teams and Cisco's privacy statement and terms of use in the case of Webex (for links, cf. section Data processing by Microsoft when you use Teams and by Cisco when you use Webex above).

For what purpose is personal data processed?

Your personal data are primarily processed to enable you to use Teams and Webex, for security purposes, and to comply with legal requirements and oversight duties.

To whom and to which countries are personal data disclosed?

Profile data, communication content and other content determined by you, as well as the personal data mentioned above under the section Which categories of personal data are processed?, are also transmitted - to Microsoft when you use Teams and to Cisco when you use Webex - outside Switzerland or the European Union to countries worldwide. Information on the circumstances in which such a transmission takes place and to which countries, as well as information on how adequate privacy is ensured when personal data are disclosed to countries without adequate data protection, may be found in Microsoft's privacy statement and terms of use in the case of Teams and Cisco's privacy statement and terms of use in the case of Webex (for links, cf. section Data processing by Microsoft when you use Teams and by Cisco when you use Webex above) as well as in the 'General privacy statement of the SNB'.

Besides the transmission of personal data abroad described above, personal data are naturally also always transmitted to countries outside Switzerland in which users of Teams or Webex are located (for example, if you yourself are abroad or a person with whom you communicate is abroad). If you do not agree with this, please do not use Teams or Webex, or use them only to a limited extent.

Data security

The SNB takes appropriate technical and organisational measures to protect your personal data from unauthorised access and misuse. When selecting and instructing external service providers, it ensures that they comply with technical and organisational measures. However, despite high security standards, total protection against potential internet risks cannot be ruled out.
